The portal replaced the scattered workflow with a structured intake system. Each new client gets a secure workspace where they submit their material requirements, preferred batch sizes, and delivery schedule. Our logistics team reviews the request, checks greenhouse availability against the seasonal growing calendar, and returns a confirmed plan with clear milestones. The system also stores the quality certificates and batch records for each shipment, so the manufacturing side can pull the documentation they need without waiting on a reply from us.
What made the difference was keeping the scope tight. We did not try to build a full ERP or a customer-facing analytics suite. The portal does one thing well: it turns a vague inquiry into a confirmed order with agreed dates and documented specifications. Since launch, the average time from first contact to confirmed delivery slot has dropped from about nine working days to three. Our account managers now spend their time on cultivation planning and transport coordination instead of chasing signatures and re-sending the same forms.
The next phase is straightforward. We are adding a simple reorder function so existing partners can duplicate their last confirmed request, adjust the volumes, and submit it for the next growing cycle. That removes the repetitive data entry and gives our greenhouse team a clearer view of upcoming demand.
